Healthcare leaders make smart strategic investments using consistent, reliable financial data

 

More than 700,000 patients receive treatment from The Medical City’s network of hospitals and clinics each year. To ensure the best outcomes for those patients, the organization must invest wisely in treatment options and the people to deliver them. The Medical City developed consistent planning processes using Anaplan to support those investment decisions, saving hundreds of hours of precious time yearly and empowering leaders to plan wisely for the future.

The five hospitals in the Philippines operations of The Medical City (TMC) support the health of more than 700,000 people each year. With 1,400 physicians and 4,000 staff, TMC continuously invests in the latest medicines, healthcare technologies, and treatments.

 

“Each year we would increase our department’s budgets in line with our yearly profits to give them extra resources to develop patient services,” explains Dean Noel M. Fabella, AVP & Head of Corporate Planning and Analysis at TMC. “While this approach helped us to maintain excellent care and patient safety, it was hard to track spending — or measure the true impact of budget increases — because our decision-making wasn’t backed up by consistent financial planning processes.”

 

Each of TMC’s hospitals and clinics tracked its own budgets, forecasts, and scenarios using different methodologies. Central finance teams used spreadsheets to bring the data together, which required significant manual work.

 

“Consolidating data for yearly budgets would take up to a month, and we’d often have to work overtime,” Fabella recalls. “We were busy collecting and preparing data instead of advising department leaders on the best way to use resources. The manual approach also increased the risk of errors.”

 

Finding the cure for time-intensive planning

TMC set out to address these challenges by standardizing data consolidation, reporting, budgeting, and forecasting. After several industry peers recommended Anaplan, TMC finance leaders asked for a product demonstration.

 

“From the very beginning, it was clear that Anaplan was willing to take the time to understand our needs and the complexity of our organization,” explains Fabella. “During the demonstration, we saw how we could automate consolidation work and visualize our data in a much more intuitive way with Anaplan.” TMC leadership selected Anaplan and the finance team worked with Scanomi to implement the solution.

 

“We’d already done a lot of the heavy lifting by designing standard planning and budgeting activities with spreadsheets,” says Fabella. “It was simply a case of importing these processes into the Anaplan platform.” The team first set up TMC’s main hospital on Anaplan, then extended the solution across the remaining network of hospitals and clinics.

“We’ve already seen tremendous benefits since we started using Anaplan,” comments Fabella. “We can consolidate financial data from all departments in a matter of minutes, saving us about 1,200 hours a year. And we’ve nearly eliminated keystroke errors with a standardized interface built in Anaplan. Every hour saved on data preparation and validation is an hour we can spend providing financial information that drives smart investment decisions.”

 

Indeed, the Anaplan platform has put actionable financial data directly in the hands of TMC decision-makers. “Before Anaplan, our finance team would regularly receive emails asking for data and reports for our leaders,” comments Fabella. “Now, those same leaders log into Anaplan themselves to access financial data — including variances, trend analyses, and CapEx reports — so everyone can focus on delivering excellent care and investing in the future.”
